JOB TITLE: Logistics Assistant

TYPE OF CONTRACT: SSA-5

UNIT/DIVISION: Funds Management and Commodity Accounting

DUTY STATION (City, Country): Cairo, Egypt

DURATION: 11 months

BACKGROUND AND PURPOSE OF THE ASSIGNMENT:

The conflict escalation on 07 October in Gaza has severely disrupted electricity, food, water, and fuel supplies, restricted movement, and worsened the humanitarian crisis. This has led to large-scale displacement and significant logistics challenges for humanitarian organizations. WFP has set up supply chain corridors, including through Egypt, and is establishing the necessary staffing to deliver relief and life-saving supplies into Gaza.

ACCOUNTABILITIES/RESPONSIBILITIES:

Provide support to logistics operations and activities, following standard processes and facilitating, directly or indirectly, the effective delivery of food assistance to beneficiaries.

Create and maintain Logistics service Purchase Orders in WFP’s Information Network and Global System (WINGS) using the correct budget codes, vendor details, quantities, contract rates, and contract terms

Create and maintain Service Entry Sheets (SES) in WINGS after verifying that PO details are correct and are related to the services rendered prior to the approval of service delivery confirmation and taking into consideration the WFP International Public Sector Accounting Standards (IPSAS) requirements on Goods Receipt Notes (GRNs).

Ensure service provider’s invoices are processed & approved in the Invoice Tracking System (ITS) promptly based on valid contracts and following thorough verification of the details of the invoices.

Manage the request to coordinate with vendors to collect the necessary paperwork for vendor amendment and or registration.

Coordinate with suppliers to ensure that invoices are being submitted during the requested period and processed.

Ensure problematic vendor invoices are communicated to the immediate supervisor and vendors for correction.

Ensure proper filing of invoices and correspondences related to Logistics funds management and invoice processing.

Process documentation for execution of logistics operations (e.g. customs clearance, invoice verification), take appropriate actions to resolve operational issues escalating various issues to the supervisor.

Share the list of open POs exceeding 90 days with concerned spending units.

Create new pre-requisition, purchase orders, service entry sheets, and goods receipt notes.

Respond to a variety of technical queries/requests for support, following standard processes, and obtaining guidance as required, to ensure timely and accurate resolution of all enquiries with a high standard of client service mindset.

QUALIFICATIONS & EXPERIENCE REQUIRED:

Education:

Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.

Experience Knowledge & Skills:

A minimum of 5 years related work experience especially in the following:

Experience in processing invoices.

Experience in dealing with service providers and coordinating with vendors.

Analytic and critical thinking approach

Experience using logistics databases to extract routine reports such as the LESS system.

Languages:

Fluency in both oral and written communication in English and Arabic languages.
